Shabda is an important means of comunicating with the order as a whole, along with the order information service. Both should be used to notify order members about relevant events.

ordinations

Prior to the private and public ordinations the public preceptor may inform the Order office of the date, time and place together with the name(s) of the ordinands. The Order office will send out the information via the Order email information system.

As soon as practicable following the public ceremony details of the new Order name[s] should be emailed to the Order office so that they can be sent out via the Order email information system. Please make sure that the name is correctly spelt as this will go onto the database.

The public or private preceptor should also collect together all the relevant transcriptions of names plus photos, and send these direct to Shabda, with the following subject line "+N Ordination name giving"

consultation about proposed private preceptors

The information should be sent to Shabda with the following subject line: "+N Proposed PRIVATE Preceptor". It should include the name of the proposed private preceptor, the name of the correspondent and the deadline for sending comments.

consultation about proposed public preceptors

The information should be sent to Shabda with the following subject line: "+N Proposed PUBLIC Preceptor". It should include the name of the proposed public preceptor, the name of the correspondent and the deadline for sending comments.

reviews

The information should be sent to Shabda with the following subject line: "+N Preceptor review ". It should include the name of the preceptor under review, the name of the correspondent and the deadline for sending comments.

kalyanamitra ceremonies

The celebrant should send details with the subject line "+N Kalyana Mitra ceremony ". It should include the date, place, celebrant and names of the kalyana mitras (and the person to whom they became kms).

resignations

Once due process has been followed to accept an Order member's resignation this should be sent by the public preceptor to Shabda with the subject line "+N resignation".
